AI HR assistant for policy questions and letters, not yet available: An assistant that reads
your own handbook.
Not yet available: it is built into DenwaysHR but not switched on for customers. Once on, it answers questions about policy and the employee's own record, drafts routine letters and job descriptions, and never surfaces anything the person could not already open.

Answers come from your own policies and records
The questions an HR inbox receives most often already have answers in the system. The assistant reads your organization's policies and records to give them.
- Policy questions answered from your own documents
- Leave balance and attendance read from the record
- It says so where the answer is not in your data
- In the web app, once it is switched on

Drafting the routine documents, deciding nothing
A salary certificate, an experience letter, a job description for a role you already have. The assistant produces a first draft and a person reviews it before it goes anywhere.
- Routine HR letters drafted for review
- Job descriptions drafted from the role
- Report summaries in plain language for HR
- A person approves and issues every document

The same permissions as everything else on the platform
The assistant is not a way around access control. It answers within the roles your administrators already configured, and your employee data is not used to train any model.
- Role-based access applied to every answer
- Nothing surfaced that the person could not already open
- Employee data is not used to train any model
- Not yet available on any plan

The assistant answers. You decide.
The assistant saves a lookup and a first draft. It does not make an employment decision.
The employee
- How much leave is left
- What the overtime policy says
- Where to find last month's payslip
The HR team
- Routine letters drafted for review
- Job descriptions from the role
- Report summaries in plain language
The boundary
- The same role-based permissions
- No decision taken on its own
- No training on your employee data
- Plan-gated rather than always on

What does the AI assistant module include?
7 features, each one built into the application. Where one depends on a plan, a setting or a release, the note under its module says so.
AI assistant
A chat bubble on every page that knows the product and can look up your own numbers. It proposes; it never writes.
Built, but not yet switched on for customers: it runs once an AI provider is connected for your deployment.
- How do I…
- Step-by-step answers for the common tasks: applying for leave, finding a payslip, starting the timer, approving a request.
- Your leave balance
- Quota, used and remaining per category, from the same calculation as the leave page.
- For managers
- How many leave requests are waiting on you, and who in your team is present, absent or on leave today.
- For admins
- Today's attendance across the organization and where this month's payroll run stands.
- Prepare a leave request
- Say you want time off and it shows a card with the dates and type. Confirm, and it goes through the normal request with the normal checks and approvals.
- Same permissions as you
- What it can look up depends on your role and your branches.
- Logged
- Every exchange is recorded with the question, the answer and which lookups ran.
What can the assistant answer?
Questions about your policies and about the employee's own data, such as how much leave they have left or what the overtime policy says. It also drafts routine HR letters and job descriptions and summarises reports for HR.
Where do its answers come from?
From your organization's own documents and records inside the platform, not from general knowledge about employment in the region. If the answer is not in your data, it says so rather than filling the gap.
Can it show an employee something they should not see?
No. It applies the same role-based permissions as the rest of the platform, so it can only return what that person could already open themselves. A manager scoped to one department does not get answers about another.
Is our employee data used to train a model?
No. Your employee data is not used to train any model. It is read to answer the question in front of it, under the same tenant isolation and access controls as the rest of your records.
Does it approve leave or make decisions?
No. It answers questions and produces drafts; approvals, letters and any employment decision stay with the people who hold those roles. Every document it drafts is reviewed and issued by a person.
