An asset belongs to a person, not a spreadsheet tab

Every item sits on the employee record it was issued to, next to their contract and their leave. Ask who has the site laptop and the answer is a lookup, not a round of emails.

  • Laptops, phones, SIM cards and access cards
  • Vehicles, tools and issued uniforms
  • Assigned against the employee record
  • Full history of who held it before

Handover that somebody signed

The argument at the end of employment is always about what condition it was in. Acknowledgement and condition notes are captured when the item changes hands, by both sides.

  • Employee acknowledgement on handover
  • Condition notes and photos at issue
  • The same record used on return
  • Transfers between employees kept in sequence

Warranties and renewals that surface early

A vehicle registration, a device warranty and a SIM contract all have dates. Those dates raise themselves before they pass rather than after.

  • Warranty and renewal dates on each asset
  • Reminders ahead of the date
  • Assets included in the offboarding checklist
  • Outstanding items visible before final settlement

Issued once. Tracked always.

Companies rarely lose equipment dramatically. They lose it one leaver at a time.

What does the Assets module include?

8 features, each one built into the application. Where one depends on a plan, a setting or a release, the note under its module says so.

Asset register

What the company owns, who is holding it, and what it will cost if it does not come back.

Asset details
Tag, name, category, serial number, purchase date, replacement value and condition (new, good, fair, poor).
Search and filter
By tag, name or serial number, narrowed by status and category.
Assign to a person
An assigned asset has to be returned before it can go to someone else. The employee is notified and asked to confirm.
Confirm receipt
The employee confirms from their own profile. The register shows the date, or that receipt is still unconfirmed.
Return with condition
Record the condition it came back in, notes, and an amount to recover if it is damaged. Only HR or payroll can set a recovery amount.
Feeds the final settlement
Unreturned items at replacement value, plus any recovery amounts, become the asset-recovery figure a full and final settlement starts from.
Archive
Retire an asset without deleting its history.
Separate view and manage rights
Seeing the register and changing it are two different permissions.

More in the full FAQ

What can we track as an asset?

Anything you issue to a person: laptops, phones, SIM cards, vehicles, hand tools, uniforms and building access cards. Each carries its own identifiers, condition notes and dates, and each is assigned to the employee record of whoever holds it.

How does handover acknowledgement work?

When an item is issued, the condition is recorded and the employee acknowledges receipt, so there is a signed position on what they took and what state it was in. The same record is used when the item comes back, which is what settles disagreements at exit.

Does anything stop equipment walking out at resignation?

Assets held by a leaver are added to the offboarding checklist automatically, and outstanding items stay visible while the exit is being processed. It surfaces the item before final settlement rather than relying on a manager remembering.

Can one asset move between employees?

Yes. A transfer records the return from one person and the issue to the next in sequence, so the item keeps a continuous history. You can see every holder it has had rather than only the current one.

What happens with warranty and renewal dates?

Each asset can carry warranty expiry and renewal dates, and reminders are raised ahead of them. That covers a device still under warranty, a vehicle registration coming due and a SIM contract that renews on a fixed cycle.
