Compliance

Compliance, in 4 parts.

4 parts. Swipe across.

Probation confirmations before they lapse

A probation period that passes unconfirmed is a legal problem discovered months later. The dashboard raises it while there is still time to act.

  • Automatic visibility of upcoming confirmations
  • One-click confirm workflow
  • The decision recorded against the employee
  • Audit trail showing who confirmed and when

A rolling list, not a monthly scramble

The compliance overview is what an administrator opens on a Monday: the items that need action now, rather than a report they have to interpret.

  • Rolling view of items needing action
  • Surfaced from live employee records
  • Scoped by role and by branch
  • Cleared as the work is done

The documents an inspection asks for

Government identifiers, contracts and uploaded documents live on the employee record, encrypted, where their status is visible rather than assumed.

  • Emirates ID, labour card and passport on the record
  • Government identifiers encrypted at rest
  • Document storage against each employee
  • Access following the roles you configure

Every decision leaves a trace

When a dispute surfaces a year later, the question is who did what and when. The audit trail answers it without an investigation.

  • Role changes, salary changes and disbursement logged
  • Administrative impersonation recorded
  • Actor, target and timestamp on each entry
  • The same trail across every module

Compliance, screen by screen.

The product itself, on a demo company's data. Nothing here is drawn for the website.

Probation confirmations due in DenwaysHR, each person listed with an end date, status and Confirm, Extend and Terminate buttons, beside the count of 28 probations due

Three failures. All avoidable.

Compliance problems are rarely dramatic. They are usually a date nobody was watching.

Dates

The probation that lapsed

  • Upcoming confirmations surfaced early
  • One-click confirm with a record
  • Nothing depending on a calendar reminder
Records

The document that expired

  • Identifiers and documents on the record
  • Encrypted at rest, not in a shared drive
  • Visible rather than assumed
Audit

The change nobody logged

  • Sensitive actions written to the trail
  • Actor, target and timestamp captured
  • Answerable months later as a lookup

The full list

What does the Compliance module include?

24 features across 4 parts of the product, each one built into the application. Where one depends on a plan, a setting or a release, the note under its module says so.

Compliance dashboard

Every dated obligation the company has, on one calendar, with the action sitting next to the deadline.

30, 60 or 90 day window
Choose how far ahead to look. Tiles count documents expiring, probation due, contracts renewing and, in the UAE, ILOE gaps.
Deadlines calendar
A month view and a list of organization deadlines, document and ID expiries, establishment documents and visa steps. Overdue, within a week and organization items are colour-coded. Click a day to filter.
Organization deadlines
Add your own: WPS or payroll filing, trade licence or permit, group insurance renewal, visa batch, audit or inspection, statutory filing. One-off, monthly, quarterly or yearly. Mark a recurring one done and it returns on its next date.
Document expiries table
Employee, document, type, expiry and days remaining, across IDs, uploads, dependants, medical cover, certificates and establishment documents.
Probation decisions
Confirm, extend to a new end date, or terminate. HR decides, and never on their own record.
Contract renewals
Fixed-term contracts approaching their end, with a Renew action that takes the new end date.
Mandatory training
How many people are not up to date and, for each, which course is missing and whether it was never assigned, not done or has expired.

Emiratisation tracker

Your Emirati share of skilled roles against the target for the year, and what the shortfall would cost.

For organizations registered in the UAE. A tracker and calculator: it does not file with MOHRE or Nafis.

Built from the records
The figures come from each employee's nationality and MOHRE skill level. DenwaysHR counts levels 1 to 3 as skilled.
Where you stand
Emirati share of skilled roles, skilled headcount, Emirati nationals in skilled roles and either "on target" or how many positions short.
Targets by year
The year-end target and the 30 June checkpoint, which is the previous target plus one point. Applies from 50 employees.
Projected fine
Shortfall multiplied by the monthly contribution for the year, over twelve months.
Missing data flagged
Employees with no skill level recorded are counted and called out, because they fall out of the ratio.

ILOE tracking

Unemployment insurance enrolment for every employee, with the people who are not covered at the top.

For organizations registered in the UAE. Tracks and reminds; it does not subscribe employees or deduct the premium.

Status per employee
Enrolled, not enrolled or exempt, with the policy expiry date.
Category from salary
Category 1 or 2 and its monthly premium, worked out from the basic salary in the payroll structure.
Gap list
Everyone who is not enrolled or whose policy has expired, in one table.
Alerts
A one-time alert when enrolment is missing, and policy expiry alerts at 60, 30 and 7 days.

Conduct and discipline

Warnings that are served, acknowledged and lapse on a known date, and a record the employee can read and answer.

Five record types
Verbal warning (lapses after 6 months), written warning (12 months), final written warning (12 months), suspension and performance improvement plan, which run until closed.
Draft, then issue
A draft is invisible to the employee. Issuing serves it, fixes the lapse date and notifies them.
Acknowledge and respond
The employee acknowledges the record and can reply in their own words. The time is recorded.
Lapses are shown
The employee's view says when a warning lapses, and once it has, that it no longer counts against them.
Improvement plan check-ins
Up to twelve dated check-ins, each marked on track or off track as it comes due.
Close with an outcome
Improved or withdrawn, logged.
Strict access
HR only, within their branches. Nobody sees or issues a record about themselves through the HR list, and line managers do not see their team's records.
Fed by attendance
The attendance warning ladder drafts records here from lateness and absence rules.

Questions

Compliance questions, answered.

More in the full FAQ

How does probation tracking work?

The dashboard gives automatic visibility of confirmations coming up, so a probation period does not pass unnoticed. Confirming is a one-click workflow, and the decision is recorded against the employee with an audit trail entry showing who made it and when.

What is on the compliance overview?

A rolling list of the HR compliance items administrators need to act on, drawn from live employee records rather than a report compiled separately. It is scoped by role and by branch, so an administrator sees what is theirs to handle.

Does this replace legal advice?

No. The platform surfaces dates and keeps records so nothing is missed, and it applies the statutory calculations built into payroll. Whether your policies meet your obligations in each country remains a question for your legal adviser.

What exactly is recorded on the audit trail?

Sensitive actions including role changes, salary changes, payroll disbursement and administrative impersonation, each with the person who acted, what they touched and when. The same trail runs across every module.

Can a branch manager see only their own branch's items?

Yes. Branch-scoped visibility applies here as it does everywhere else, so a branch manager works their own location's list rather than the whole company's.

Where are identity documents held?

On the employee record, with government identifiers encrypted at rest and access following the roles your administrators configure, rather than in a shared folder whose permissions nobody has reviewed.
